Make a wholesale clothing line sheet
Updated
A wholesale clothing line sheet should let a buyer decide whether a lot fits their shop and ask for it by name. Put the stock, price and terms together so neither side has to reconstruct the offer from messages.
For vintage inventory, start with the lot rather than a fashion collection. One-off pieces and changing mixes need clear availability and condition details.

This is a template, not a live offer or a Stockhouse price. Replace every field with details you can support.
Make condition specific
A grade label needs a definition. Describe allowable fading, stains, holes and repairs, plus any share of lower-grade stock. State whether items are washed and whether they need preparation.
Read wholesale clothing grades before choosing wording. Do not describe a mix as all-vintage, all-authentic or a guaranteed brand assortment unless you can support that claim for the offered lot.
Photograph what is being offered
Show the overview, a useful spread of pieces, identifying labels and flaws. Make representative images distinguishable from actual lot images. Buyers should know whether they receive the pictured garments or a mix packed to a specification.
For garment-level details, eBay's clothing guidance recommends describing condition, size, material and brand, with clear photos and measurements. Source checked October 28, 2026. Apply those information principles to the wholesale offer without implying the platforms have identical requirements.
Add order terms once
State the payment process, reservation period, shipping basis and how buyers report an order that differs from its description. Distinguish processing time from carrier transit.
If buyers can combine categories, explain the minimum order and pack increments. If the offer is a sealed bale, state weight and whether the piece count is guaranteed or estimated.
Keep availability current
Give each lot a stable reference. Mark it sold when committed, and revise the date when checking the stock. A replacement lot needs its own photos and specification; it should not silently inherit a previous lot's description.
Ask buyers to quote the reference and destination when requesting an order. Confirm the final delivered total and lot details before taking payment.
Stockhouse is onboarding US wholesalers, graders and other secondhand suppliers ahead of launch. Preparing accurate lot descriptions now can make applying to sell and future listing work simpler. Marketplace lots and purchases are not live yet.
Questions
- What is a wholesale clothing line sheet?
- A line sheet is a buying reference showing the stock a wholesaler offers, with identifiers, images, prices and ordering terms. For secondhand lots, it also needs the count or weight, mix, condition and current availability.
- Do I need special software to create a line sheet?
- No. A document, spreadsheet or simple web page can work if the information is readable, dated and kept current. Use a format buyers can easily share and refer back to.
- Should a vintage line sheet show actual stock photos?
- Use actual lot photos where possible. If an image is representative, label it clearly and state what the buyer is guaranteed to receive. A sample photo should not imply the pictured items are included.
